GEP QUANTUM provides full procure-to-pay (P2P) functionality — from item search to invoice matching and payment authorization — that is easy to use, easy to deploy, and proven effective. As a buyer, you have quick, easy access to supplier catalogs, including hosted/contracted catalogs and punch-out/commercial catalogs. You can compare across different suppliers or lines, fill shopping carts and place easily trackable orders — just like a consumer shopping portal.

In this release, 18 features/enhancements have been added to P2P.

Catalog - Supporting Multiple Parent Orgs for a Single Entity Code

With this release, the item search functionality is enhanced to ensure that when you search using an entity code, the application retrieves and applies all associated org-entity combinations from the Master Data instead of just one. This ensures more accurate and complete search results across the GB Landing Page, Search Results, Wishlist, and Cart. This change applies to all the Catalog types.

 

Catalog – Introducing New Columns on Workbench View

With this release, the Workbench views for Hosted Catalog, Pricebook, L1 Punchout, and L2 Punchout Catalogs are updated by introducing the following columns:

  • Created By

  • Created On

  • Amended By

  • Amended On

These columns accurately display the Catalog creator, creation date, last person who amended, and the latest amendment date. This resolves prior issues where creation and amendment data were inaccurately shown.

 

Catalog – Configuring Display Settings of Fields

With this release, a new configurable color setting allows you to dynamically switch the text, border, and icon colors of the On Behalf Of, Line of Credit Code, and Business Unit fields between black and white for better visual customization.

 

Catalog – Introducing Search Bar on Catalog Search Results Page

With this release, a new search bar on the Catalog Search Results page is introduced to enhance the user experience. This search bar allows you to search across all item sources, such as Hosted Catalog, Pricebook, Item Master, and Punchout, similar to the global search functionality on the Gbuy landing page. It supports both exact and partial matches and enables searching by SIN, BIN, Item Name, Description, Specification, Keyword, Category, and Manufacturer Name. Upon searching, the page and filter panel refresh to display relevant results, and the search text is retained unless cleared or updated. Additionally, a No results found message is displayed if no matches are found.

Catalog – Validating Data with Item Master

With this release, when both SIN and BIN are provided while uploading lines, the BIN is now validated against the Item Master (IM), and errors are returned for any invalid BINs. Uploaded Catalog data is compared against the IM’s mandatory attributes, where IM data automatically replaces available values, and you are notified via a banner. The other fields retain the data you provided if it is not available in IM. Additionally, you can configure fields to either block updates (causing upload errors if mismatched) or selectively allow replacements from the IM.

Requisition – Hybrid Contract Support for Bulk Uploads

With this release, users in hybrid migration environments can now upload Requisitions in bulk from both SMART and Quantum. This allows hybrid users to seamlessly leverage data from both applications while performing bulk uploads, improving efficiency and data consistency for procurement.

 

Requisition – Standardized Date Formats in UI, PDFs, and Notifications

Order – Displaying Confirmation Pop-up on Currency Change

With this release, when you change the Order Currency, a confirmation pop-up is displayed with the following message:

Changing Currency might delete irrelevant line items. Do you wish to continue?

The application behavior is based on the following actions:

  • On clicking Yes:

  • Internal and manual line items are retained and converted using the latest exchange rate.

  • The Order Header is recalculated.

  • On clicking No:

  • The order remains unchanged.

 

 

Order – Enhancement to Payment Terms Defaulting Logic

With this release, the following enhancements are made to the Payment Terms on Purchase Orders to ensure better consistency across Change Orders:

  • If Payment Terms are manually updated on the parent Purchase Order, they are preserved on Change Orders.

  • If not manually updated:

  • Payment Terms are re-defaulted from the associated Contract or Supplier, if either has changed.

  • The Payment Terms are carried forward from the parent Purchase Order if no changes are detected.

Order - Expanded Field Editability for Suppliers

With this release, Suppliers can now edit additional fields beyond Promised DatePromised Quantity, and Supplier-Suggested Unit Price. The application determines field editability based on the following parameters:

  • User persona (Buyer or Supplier)

  • Document status

  • Organization structure

  • Purchase type

  • Line type

  • Item source

Once a field is marked as editable, the application includes it as part of the Change History comparison.

Order – Ability to Edit Unit of Measure (UOM) for Internal Items

With this release, you can edit the Unit of Measure (UOM) field for internal items in the Draft status of Purchase Orders (PO) and Change Orders (CO). Once the PO or CO is in Submitted or Approved status, the UOM field becomes non-editable.

This enhancement applies across all item sources, including:

  • Req-to-Order flip

  • Auto-suggest

  • Add from Catalog

  • Replace from Catalog

Order - Consistent Date Format in System-Generated Outputs

With this release, the application displays all dates in the DD-MMM-YYYY format across system-generated documents and notifications, replacing previously used numeric formats.

This update applies to:

  • Newly generated and historical documents

  • PDF and print preview outputs

  • Email notifications, including receiver timestamps

 

 

Order – Introducing ‘Change Request’ Button

With this release, a new button, Change Request, is introduced that allows Suppliers to propose updates to Purchase Orders in the Sent to Supplier or Open status. This feature streamlines collaboration between Suppliers and Buyers by enabling suppliers to draft proposed changes, save progress, and submit updates for Buyer review.

Feature benefits:

  • Provides Suppliers with flexibility to draft and review proposed changes before submission.

  • Ensures complete traceability of supplier-initiated changes while maintaining Buyer visibility only when appropriate.

ASN - Introducing Consistent Date Format

With this release, the application now supports a standardized date format across all sections and attributes, ensuring unambiguous interpretation of dates. All the dates are displayed based on the standard format set at the platform level.

This change applies across UI, PDFs, exports, reports, notifications, and search results, and is also retroactively applied to historical documents for consistency.

 

Budget – Displaying Comments and Attachments on Reassigned Documents

With this release, you can add comments and attachments while reassigning any action-pending document to another user via the Admin – Document Management screen.

The added comments and attachments are recorded in the Comments and Attachments section of the reassigned document, ensuring proper tracking and context.

 

 

SC – Tagging Restrictions in ‘Comments and Attachments’

With this release, the following restrictions are applied while tagging a Buyer or Supplier in the Comments and Attachments section:

  • Buyers being tagged must belong to the same Business Unit (BU) as the Service Confirmation and must have the necessary activity permissions

  • Suppliers being tagged must be a Supplier Contact for the associated Supplier and must have a Registered status.

  • If visibility is Internal, only Buyer can be tagged.

  • If visibility is External, both Buyer and Supplier can be tagged.

 

SC - Adding Comment and Attachment when Re-assigning

With this release, Service Confirmation Approvers can include comments and attachments when reassigning the SC document to another user for approval. The additions are:

  • Recorded in the Comments and Attachments.    

  • Included in the Print PDF version of the document.

  • Logged in the Audit Log.

  • Mentioned in the reassignment notification, as well as in any related outbound requests.
